Internal Agents Regulation — Platform Use

1. Scope
This Regulation applies to employees and internal agents of Avangarde Tourism who use the platform for offers, bookings, client communication, account management, support, or other operational activities.
2. Relationship with internal documents
This Regulation supplements the individual employment contract, job description, internal rules, GDPR policies, security procedures, and the company's operational instructions.
3. Platform access
The internal agent account is personal and non-transferable and must be used for professional purposes only. Passwords, access codes, and sessions must not be shared with other persons.
4. Use of client data
Internal agents may access client data only for authorised professional tasks. Accessing data out of curiosity, copying data outside approved systems, or transmitting it to unauthorised persons is prohibited.
5. Offers and bookings
Internal agents must use only approved offers, validated prices, and up-to-date commercial conditions. Booking confirmation may only take place after verifying availability, obtaining client acceptance of the conditions, and following payment procedures.
6. Payments
Internal agents may not indicate unofficial payment methods and may not receive money in a personal account. Any exceptional collection must be expressly authorised and documented in accordance with accounting and tax procedures. Clients must be directed exclusively to Avangarde Tourism's official payment methods: bank transfer, card via Stripe, or PayPal (coming soon).
7. Client communication
Communication must be clear, professional, and verifiable. Important conditions regarding price, cancellation, refund, travel documents, and payment deadlines must be communicated in writing or through the platform system.
8. Bonuses and commissions for internal agents
Where Avangarde Tourism applies a commission or bonus system for internal agents, it applies only under the conditions established in the individual employment contract, addendum, internal rules, bonus policy, or other applicable internal document.
For internal agents to whom the T1–T4 tier system applies, the calculation rules are those set out in the Agent Commission Level System Annex.
The application of a commission system does not alter the employment relationship and does not transform the internal agent into an independent collaborator. Any payment is treated according to the rules applicable to salary income or other forms of remuneration permitted by law.
9. Complaints and incidents
Complaints, travel incidents, supplier issues, urgent requests, and suspected fraud must be reported immediately through the established internal channels.
10. Confidentiality
Internal agents must maintain the confidentiality of commercial, financial, technical, and contractual information and client data, both during and after the employment relationship.
11. Security
Internal agents must use approved devices and channels, avoid unauthorised local storage, and report compromised passwords, phishing, unauthorised access, or lost devices. Test, demo, or reserved accounts must not be used in production without authorisation.
12. Compliance and sanctions
Breach of this Regulation may result in disciplinary sanctions under the internal rules, withholding of commissions or bonuses, suspension or revocation of access, termination of the employment contract, and, where applicable, recovery of damages.
